Queried invoice? Start here.

Start with the actual question. A query is a request to review something—not a reason to guess at a new invoice.

  1. Find out what needs checking

Read the message carefully. If the reason is unclear, ask the payment contact which invoice and line item they mean.

  2. Compare with your records

Check the queried details against the support delivered, the agreed arrangements and your original invoice.

  3. Correct only what needs correcting

If there is an error, clearly identify the corrected invoice and keep a record of the change. Confirm how the recipient wants it resubmitted to avoid duplicates.

  4. Keep a clear follow-up trail

Save the query, your response and any revised document securely. Agree on the next step; do not assume resubmission means payment is approved.
